Lock the rate before the invoice

Margin leaks when the billed rate and the agreed rate are stored in different places.

The rate is agreed early and checked late

A lane rate is agreed when the booking is made. The invoice is checked days later, often by someone who was not on the call. If the rate lives in a quote, a chat, or a private sheet, the checker is guessing.

The miss is usually small on one trip. Across a month of loads it is a quiet leak: a wrong slab, an old fuel note, or a vendor bill that does not match the lane.

Put the rate on the booking

The rate that will be billed should be stored with the trip, before the vehicle moves. When the invoice is raised, it should read that rate instead of asking someone to look it up again.

If the rate changes, the change should be visible on the same booking. A second spreadsheet of “latest rates” will drift from the trips that already used the old one.

Check the exception, not every row

Finance should not re-type a rate that operations already locked. They should see the trips where the vendor bill and the locked rate disagree, and leave the matching ones alone.

VizFleet keeps route pricing next to the booking and the invoice so that check is a comparison, not a search.
