Track vendors without a chat thread

WhatsApp is fine for a message. It is a poor place to remember which vendor took which load.

The thread is not the assignment

A vendor confirms in chat. An hour later another vendor asks about the same lane. The first message is still in the thread, but the booking itself does not say who owns the load.

That gap shows up on the invoice. The bill arrives from a vendor who was never written onto the trip, or two vendors both believe they ran it.

Write the assignment on the trip

The person who takes the load should be a field on the booking, not a message you have to scroll to find. The same record should show the rate you locked and the status of the trip.

Chat can stay the way you talk. It should not be the way you remember.

What good looks like at the end of the day

You can open one list and see which vendor is on which booking, which trips are still open, and which bills do not match the assignment. You do not reconstruct the day from a phone.

That is the vendor view VizFleet is meant to give a dispatcher: one assignment, one rate, one place to check before the invoice goes out.
