Why spreadsheets break as a fleet grows

A workbook can run a small fleet. It fails when trip status, rates, and invoices live in different files.

A workbook is a record, not an operation

Most fleets start in a spreadsheet because it is fast. One tab holds bookings. Another holds vehicle numbers. A third holds the rates someone agreed last month. That is enough while one person can see every row.

The break comes when the same trip is updated in WhatsApp, then copied into the sheet, then copied again into an invoice. Each copy can be right on its own and still be wrong together.

Where the hours go

Dispatchers spend the morning asking for status that should already be on the trip. Finance spends the afternoon matching a vendor bill to a rate that lives in a different file. Nobody is doing extra work on purpose. The record is split.

A shared sheet does not fix that. Two people can edit the same row, and the sheet will not tell you which status is the one the customer was promised.

What to keep in one place

The trip, the vendor, the rate, and the invoice need to point at the same booking. When one of those changes, the others should show it without a second paste.

VizFleet is built for that handoff: bookings, vendors, route pricing, invoicing, and maintenance in one platform. The sheet can stay as an export. It should not stay as the system of record.
